This section is designed to help HAESF participants who have been accepted into our programs deal with the typical questions that arise. Most of this information can also be found in the Participant handbook, which you will receive after being accepted into the program.
Pre-departure
Once an internship placement has been secured for Professional Internship candidates, and after sending in the acceptance confirmation for Senior Fellows & Research Scholars, the HAESF Manager in the US will send each participant a visa pre-departure package approximately one month prior to traveling.
This package will include:
- CIEE Cover Page
- Letter to Social Security Officer
- Insurance Confirmation Letter
- Health & Safety Pocket Guide (Insurance card)
- Information on how to apply for the J-1 Visa
- DS-2019 Certificate of Eligibility for Exchange Visitor (J-1) Status
- DS-7002 Training/Internship Placement Plan
- Information on how to apply for the J-1 Visa
- Award Disbursement Schedule
Visa Services
HAESF will assist all CIEE sponsored participants in securing J-1 visas administratively and monetarily. For information and questions about how to apply for a visa, please contact the HAESF Program Officer in Budapest:

Please note that HAESF cannot guarantee the receipt of a U.S. visa. Participants will be responsible for completing all visa forms in a timely and accurate manner, meeting with U.S. consular officials for an interview and maintaining and submitting appropriate documentation.
Flights
The HAESF Budapest office will purchase flights for participants who have secured their J-1 visa. There are three plane ticket options available to choose from:
- Round trip ticket paid for by HAESF (recommended for programs 3-11 months in duration)
- Round trip ticket with extension paid for by HAESF (for programs 12-months in duration)
- Two one-way tickets. The first ticket paid for by HAESF in advance and the return portion purchased by the participant at a later date with the remainder of the allowance based on a standard round-trip ticket. Participants electing this option will be responsible for any additional costs of the return flight.
You should make your preference known on the Acceptance Form and Declaration sent to you by the HAESF Manager in the US. Ticket options cannot be modified after signing and returning this form.
Airfare Reservations
You are allowed to and encouraged to make flight reservations as early in advanced as possible. However, flights will not be purchased by HAESF until your J-1 visa has been secured.
All airfare reservations should be made through Aeroviva.

To process payment, contact the HAESF office in Budapest immediately after the receipt of your visa. Please, note that HAESF is not able to process payments with any other travel agency – you should, therefore, book your flights via Aeroviva. You should not purchase a ticket with your own funds without getting HAESF's approval.
HAESF Reception and Orientation
Before traveling to the United States to begin your program, HAESF will conduct an Orientation and Reception for all participants. This will be held a few weeks before the first scheduled departure to the U.S. You will be notified of the exact date, time and location by email. The Orientation and Reception covers a variety of topics that are of great importance to the success of your experience and therefore is mandatory. It is also a great opportunity to meet and network with all participants who have been accepted into a HAESF program for the round.
