Hosting Terms - CIEE Responsibilities
Financial
HAESF awards cover: round-trip plane ticket, program-related travel expenses within the U.S., room and board, insurance coverage and spending money. CIEE will disburse the HAESF awards to the Fellows in regular monthly installments.
Training Development & Placement
CIEE is charged with placing HAESF Internship Fellows with U.S. organizations that will provide them a significant career training opportunity to develop professional, leadership and cross-cultural communication skills, thereby enhancing the Fellows' contribution to Hungarian society upon their return. In order to achieve this goal, CIEE will work with Host Organizations (HO) at several stages:
- Fellow Placement: CIEE will provide HOs with information on qualified Fellows, including their resumes, statements of purpose and letters of recommendation. CIEE will also arrange a phone interview between a candidate and a prospective HO in order to facilitate the most suitable match.
- Training Placement Development: CIEE will work with HOs to develop a detailed Training Plan for each Fellow's placement that should consist of diversified professional training (30-40h/week) directly related to the Fellow's field of study or career path.
- Pre-Departure Fellow Orientation: HAESF Fellows will receive an extensive pre-departure orientation to prepare them for their training experience in the U.S.
U.S. Entrance Visa
CIEE has been designated by the U.S. Federal Government as a legal sponsor for international visitors coming to the U.S. on Trainee programs. CIEE will produce the Certificate of Eligibility for J-1 Exchange Visitor Visa (form DS-2019) and work with the U.S. embassy in Budapest to secure an appropriate processing of U.S. entrance visas for the Fellows.
Insurance
CIEE provides the Fellows with insurance coverage at a significantly higher level than required by federal regulations. Each Fellow is covered up to $500,000 for medical expenses and also has accident, personal liability and baggage insurance. CIEE provides insurance through International Medical Group (IMG). 24/7 medical emergencies: 1-866-240-4144.
Social Security
Fellows are informed that they must apply for a U.S. Social Security number as soon as possible after entering the U.S. It can take anywhere from two weeks to three months to receive a Social Security Card. Provided the Fellows have applied for a Social Security Number, they may legally commence training with your organization as long as they can present a written notification or an uncertified copy of the application provided by SSA (even if the card has not yet been issued). Under the Immigration Reform and Control Act of 1986 (IRCA), either of these forms, along with the proper work authorization documents (DS-2019, J-1 visa and I-94 card), provide sufficient information to allow the Fellow to commence training. Fellows should then inform you of his/her number immediately following receipt of the card.
Program Evaluation and Monitoring
In accordance with new security regulations, CIEE is responsible for verifying that all Fellows begin their training programs as scheduled and that their training plans are executed according to the guidelines. To that end, CIEE will submit online evaluations to be completed by each Fellow and HO. CIEE will also update the Federal government's SEVIS system with information pertaining to the Fellow.
Program Support
CIEE will be responsible for solving any issues that might arise during the training period and for providing support to the Fellows and HOs when necessary and appropriate.
