Hosting Terms - Host Organization Responsibilities

Training Plan

After a successful phone interview with a Fellow, CIEE in conjunction with a Host Organization (HO) will develop a Training Plan that will detail the Fellow's training experience. HO is responsible for being accessible over the phone or via e-mail to discuss the proposed training, review the CIEE-prepared draft and sign and submit the final approved document in a timely manner. Training Plans are intended to ensure that the Fellows receive a well-rounded professional training experience and that the program is in accordance with the U.S. visa regulations.

Orientation & Training

HOs must develop and schedule an orientation program for the Fellow(s) first days to help them get acclimated to their new environment and responsibilities.

Program Mentor / Contact

A Host Organization will designate a mentor for the HAESF Internship Fellowship program. This person will bear responsibility for the overall quality of the training experience, acting as a mentor to the HAESF Fellow, conducting program evaluations and contacting CIEE on any pertinent issues.

Program Evaluation and Monitoring

In accordance with new security regulations, HOs and Fellows will be asked to complete Midpoint and Final evaluation forms in order to assess the program. They will be e-mailed to both parties approximately halfway through and towards the end of the Fellow's traineeship. It is mandatory that you complete and return these evaluations within 10 business days of receipt.

Status Change

HOs are also required to immediately update CIEE regarding any change to the Fellow's status, including but not limited to the change of address, request to change a HO or annulment of the hosting contract.

Compensation

While in the U.S. on the HAESF Fellowship, Fellows are not permitted to receive any compensation (salary, bonus etc.) other than their total HAESF Fellowship Award disbursed by HAESF (although a portion of that Award may be paid by a Fellow's Host Organization as specified in the agreement between CIEE and that organization). Company-specific extras, such as gym membership, meals etc., are excluded from this policy.

Vacation & Time Off

Vacation: The HAESF package covers 14 calendar days of paid vacation per year for the Fellows on a 10-12 month Fellowship, or 7 calendar days for the Fellows on a 6-9 month Fellowship. Fellows on a Fellowship that is shorter than 6 months do not receive any paid vacation.

Program-related Time Off: Each group of fellows gets a chance to go on one HAESF Business Field Trip that is meant to enhance their training experience by providing them with an opportunity to visit 1-2 prominent American companies in a chosen industry. The field trips are usually organized in February-March or in August-September and last 3-4 business days. HAESF considers these days to be regular workdays. In addition, occasionally the fellows are asked to participate in fellowship events in Washington, DC for a period of 2-3 days.

Sick & Personal Days: Any additional time-off (official holidays, sick days, personal days) during the Fellowship depends entirely upon an approval of such time-off by the Host Organization.

Home Country Presentation

One of the formal requirements of the HAESF Fellowship program is a Home Country Presentation that each Fellow is expected to give to his/her Host Organization during the first quarter of his/her stay.

Publicity

CIEE reserves the right to review and approve before publication all references to CIEE, HAESF or any Fellow sponsored by CIEE in any marketing, promotional, media, public relations, press, and other published and/or public materials initiated by Host Organizations.

Residency Requirement

Upon completion of the HAESF program, Fellows are required to return to Hungary for a minimum of three years, and are not permitted to stay or attempt to stay in the U.S. or any other foreign country, including to work or pursue work. Host Organizations must not sponsor or attempt to sponsor the Fellow for three years after the completion of the HAESF Fellowship for any employment purposes in the U.S. or any other foreign country, except Hungary. Fellows who do not meet the three-year residency requirement without the permission of HAESF or CIEE may be required to refund their Fellowship amount.
